Those in attendance were Lyle Miller, Herb Probasco, Jim Gibson, Joe Reitz, Dennis Weiss, Donald Ludlow, and Yvonne McChesney. Meeting was called to order at 7:37 pm.
Minutes
The minutes were read individually, corrected and approved.
Treasurer's Report
Jim Gibson
- The band received a $1000 donation from Wal-Mart as a matching grant from the Spring Concert, they tallied up the sponsorships and donations received at the door.
- The band received the donation from Alpine Bank.
- Joe purchased hanging files and folders for the music.
- It would be good to discuss investing some of the bands money.
- Jim has removed some of the names from the roster of those with dues outstanding, they either no longer play with the band or won't this year.
- Jim mentioned that maybe we have enough money now so that we no longer have to charge dues. Joe Reitz commented that dues imply ownership in the band and should remain. Someone remarked that the dues could be a suggested donation. We should mention hardship scholarships again.
- Jim mentioned that a local charity is asking for applications for donations. The Wells Fargo Assistance Fund is set up to provide support for non-profit organizations, Jim will go get information, Lyle offered assistance.
Committee Reports
Fundraising
Herb Probasco
- The Fundraising committee hasn't met this month.
- The band will get sponsorship from the Tri-State Employees ($325). Herb had mentioned co-sponsorship and they were fine with that. The Mail Room could be the co-sponsor.
- Pavilion costs for one concert are $270 for the concert date and $30 for the dress rehearsal on the stage. Donald Ludlow heard that the Pavilion was going to reduce fees for local groups and increase them for out-of-towners.
Membership
Donald Ludlow
- Donald had received an e-mail from some people that would like to investigate the band. There are two in the family, one plays oboe and one clarinet.
- Someone mentioned that we should contact Rhonda, the lady who does the New Comers package, it is only $15 a month to advertise plus the cost of the insert that we would provide.
Publicity
Herb Probasco
- $80 has been spent for two advertisements in the Scene Magazine.
- The Monitor Magazine has been published.
- The concert information is out to the papers and will be broadcast.
- The Banner is going up the 20 th . After September 1 st DMEA will no longer hang banners over the street, it is a liability issue for DMEA and CDOT.
- The concert is in conflict with the Friday night Balloon Affaire at Columbine. Lyle mentioned that those attending our concert don't typically attend the Balloon Affaire.
Uniforms
Yvonne McChesney
- Rachel Carson's uniform has been returned complete.
- Paula Welch's uniform was return and she gave us her blue pants, she won't need them. She regrets not playing but she doesn't have the time.
- I have received Bob and Shaileen Eisenman's complete uniforms.
- A new vest is needed for Andy King, the one he has is just not big enough.

- Minutes of the April meeting were posted.
- Herb sent the copy of the ad for the concert and Yvonne posted it on the description of the concert.
- "Under the Enthusiastic Direction of Carl Bivins" was changed to ". . . Andy King."
- Statistics were reviewed; Visitors are now in the 900 a month range. Some of the search terms are puritan pants, community band bylaws, George Van Allen, mostly Montrose band or Montrose community band. Most requests come from Google and MSN and the Visitors and Convention Bureau website calendar at www.visitmontrose.net.
Librarian
Joe Reitz
- Joe has been organizing the music in hanging folders for easier access.
- At the end of the concert he wants to collect every folder so he can retrieve the high school music. Lyle suggested not to collect it since we will need it for the summer performances. Joe insisted that he must and will reissue it on July 10 th .
- Joe keeps a master copy of each part and hands out the rest of the originals and copies if necessary.
- Joe has extra music that doesn't belong to the band or HS. Yvonne mentioned that it could be Columbine's, she will call Bob.
- Herb mentioned that Sondra Webb and Rob Brethouwer have said that they are willing to help Joe with the library. Joe said that coming early to practice would help.
- There are still lots of holes in the arrangements, missing pieces and he is still filing the HS music.
Old Business
- Lyle brought up the membership in the Association of Community Bands. Jim has downloaded the application. The dues are cheaper if we enroll after July 1 st ($25 instead of $50) so he figured he would wait since this is a trial membership on our part.
- Dennis Weiss and John House supplied the job description for the Band Director prior to the board meeting for our review. Jim wanted to verify item 2b, "rehearse and conduct 4 concerts a year" is it definite that we are going to have a Spring Concert? Our light turnout was because many had previous plans. Jim thought we could have had more rehearsals. This should be discussed with the band. The Spring Concert is liked because it keeps people involved. Herb moves to accept the Job Description with corrections, Joe seconds it, it is approved. Dennis will make the Job Description available to Andy King and let the band know that it is available and have extra copies.
- Joe Reitz wanted to know who would be selecting music for the summer performances; the director should be selecting pieces. Joe would like to have more help. Andy should be notified that he can order music on approval through JW Pepper.
- It would be good if Andy could be here at the Board Meetings.
- Jim Gibson asked about the status of the new filing cabinet and suggested a 4-drawer. That has been postponed, the current cabinet is sufficient for now.
New Business
- Lyle presented that it is the centennial year for the Elk Lodge, he can approach them about the band playing, he still hasn't received the dates though. We need a pep band that can perform in various venues on short notice. Dennis recommended having books like our Christmas Salvation Army books to play from.
- Lyle suggested that we recognize a member every quarter. They could receive a gift or reward or recognition. The board should bring criteria to the next board meeting. Board members are not eligible.
- It was asked, "Who is going to plan the concert?" Do we want risers? Who provides the ice cream tent? Who is doing the Color Guard? ROTC has done it in the past, Yvonne will call Chief or Commander. Yvonne will also call Keith and Martha regarding the tent. Larry Sims will do the audio. Dennis asked about the flag, it is in Herb's garage and he will deliver it to the Pavilion for the crew to hang.
