Montrose Community Band Board of Directors
Minutes from February 17, 2006
The Board of Directors of the Montrose Community Band met Friday, February 17th, 2006 at the Zion Lutheran Church at 7:37 p.m. Those members in attendance were: Lyle Miller, Don Ludlow, Herb Probasco, Joe Reitz, Jim Gibson, and Yvonne McChesney.
Minutes
The Minutes were read individually and the following corrections were suggested. Regarding the National Endowment for the Arts, there has not been a reply. Regarding the New Orleans Concert Band, the director/manager will be contacted around the 4 th of July Concert. Minutes were then accepted with corrections.
Lyle Miller confesses that he didn't have time to print out an agenda.
Treasurers Report
Jim Gibson reports:
- The band has about $6,000 in the account.
- 10 members have paid their dues
- Yvonne has asked for the budget so it can be posted on the website.
- Private and business donations are now only trickling in.
- Jim has spent about 8 hours verifying the integrity of the data he had received from Cheri.
Nominations for Board Positions
Lyle nominated Herb Probasco to be Vice President, Yvonne McChesney to be Secretary and Jim Gibson to be Treasurer. It was moved for all to be accepted by acclamation. Board positions accepted.

Librarian - Joe Reitz' wife Patricia will be asked
- Jim will contact Carl Bivins to pick up the music and it can be stored at the Zion Luther Church, it is central with quick and easy access.
- Jim Gibson brought up the subject of copying the music for the performances, instead of passing out originals. It is a major expense of time and money to copy the music. The money could be used elsewhere.
- Joe Reitz brought up the idea of paying Bob a stipend for directing the MCB; since he is such a busy man it would be a blessing. Lyle Miller will talk to Bob about it.
Old Business
- Lyle does have the 2 nd key for the PO Box.
- On the Trade Name Renewal it will read Lyle Miller President and Jim Gibson Treasurer even though Herb Probasco is the VP.
- The Sax Ensemble played, it went well.
- Jim Gibson received a thank you note from Paul the janitor at the MHS.
- Jim Gibson remarked that a dress rehearsal the night before the concert is more traditional and beneficial. Lyle Miller replied that a dress rehearsal the night before is more suited to plays and operas, we really don't have any costume and set timing issues to work out. Keeping it on Monday night should be fine. Yvonne McChesney remarked that we probably couldn't get everyone there Saturday anyway, people have only Monday nights scheduled for the band. Jim Gibson suggested we run through the program exactly as it would be played during dress rehearsal. We probably will
- Yvonne has e-mailed Shaileen Eisenman regarding flowers for the stage during the performance.
- Herb Probasco will ask Tri-State Employees to sponsor this concert. Lyle Miller will ask Powderhorn if they will as well.
- We didn't talk about the subject of listing member businesses at the Annual Meeting.
- A Lions Club concert is still viable. Lyle Miller will talk to Claire Ledger about it. Herb Probasco has talked to the City Council Member about insurance for playing at the city parks and she suggested for Herb to go to a council work session. Insurance shouldn't be a big deal.
New Business
- Our Main in Motion dates are July 20 on the Court House steps, and August 17 th at Demoret Park. Yvonne McChesney suggested Centennial Plaza but it is a block away from Main Street and not considered part of Main Street. Ensembles can play Main in Motion. If they want, they would be open to more bookings.
- Regarding publicity, Herb Probasco is ready to go and has sent the information to the Monitor Magazine. Yvonne McChesney asked Herb for the publicity blurb. Channel 11 has the information as well. Lyle Miller will do the radio spot.
- Regarding the banner, Julie is making a new one because the materials were faulty in the original. Marge Keehfuss at the Chamber will call Jim Gibson with the to let him know when she should receive the banner.
- St. Patrick's day Parade is March 18 th at noon. The band will be polled to see if anyone wants to participate, we only need 14.
- Regarding an equipment trailer, they are quite expensive; we should keep our eyes out for a used one. We could put advertising on it to help pay for it.
- Regarding the Christmas CDs, Herb Probasco reports that we have extras and they can be made available at the concerts for a $5 donation.
- Regarding Uniforms, Yvonne McChesney reports that a new vest is being made for Holly Rae, hers it too big. We need to get the Bivins' uniforms still.
- Should we do a tribute for Carl and Donna Bivins? We should talk about that at band on Monday night.
All new and old business has been reported and Joe Reitz makes a motion to adjourn at 8:23 pm. Motion accepted.
